As the company continues to grow, we are looking for a Program Administrator to
support the coordination and administration of our programs, services and day-to-day
operations.
Some of the duties and responsibilities are:
* Coordinate and administer contracts, programs, projects and maintenance
services across residential and commercial properties.
* Develop, negotiate and review service contracts, work orders and agreements
with clients, contractors and service providers.
* Respond to client, strata management and executive committee enquiries,
resolving issues relating to building management, cleaning and maintenance
services.
* Maintain accurate records and manage documentation, paperwork and
correspondence associated with contracts, programs, projects and services.
* Work closely with Project Managers, architects, engineers, owners, strata
managers, contractors and tradespeople to ensure projects and maintenance
activities are delivered effectively and on schedule.
* Provide administrative support to senior management and advise on matters
requiring attention, following through on decisions and agreed actions.
* Coordinate and oversee contractors and service providers, monitoring work
progress and reporting any variations, delays or changes to work orders.
* Prepare, review and maintain submissions, operational reports and
documentation relating to the organisation’s building management, cleaning and
maintenance activities.
* Collect, maintain and analyse project and service data, preparing reports on
project progress, service performance and outcomes.
* Assist with planning and coordinating new office accommodation, including
liaising with relevant service providers, contractors and stakeholders.
* Assist in coordinating day-to-day building maintenance and service requirements
to ensure properties are maintained to the company’s high standards.
* Maintain effective communication with clients, contractors and internal staff to
ensure issues are addressed promptly and services are delivered efficiently.
* Support the implementation of company procedures and ensure administrative
processes are completed accurately and within required timeframes.
* Assist with coordinating urgent maintenance and service requests, including
liaising with relevant contractors and stakeholders when required.
Skills and Qualifications
* Academic Qualification: Bachelor’s degree or equivalent qualification
in Technology, Business Administration, Project Management, or a related
academic field.
* Minimum 1–2 years of relevant experience in program administration, project
administration, contract administration or a related field.
* Experience coordinating programs, projects, contracts and service-related
activities.
* Strong administrative and organisational skills, with excellent attention to detail.
* Ability to prepare, maintain and manage contracts, work orders, reports,
submissions and other business documentation.
* Strong communication and interpersonal skills, with the ability to liaise effectively
with clients, strata managers, contractors, tradespeople and other stakeholders.
* Ability to respond to enquiries, identify issues and assist with resolving problems
in a timely and professional manner.
* Strong analytical and problem-solving skills, including the ability to collect, review
and report on project and service data.
* Good understanding of project coordination, contractor management and service
delivery processes.
* Ability to monitor contractor work, track progress and report variations or issues
to management.
* Proficiency in Microsoft Office and general administrative and project
management software.
* Ability to prioritise multiple tasks, meet deadlines and work effectively in a fast-
paced environment.
* Strong commitment to professionalism, confidentiality, quality service and
maintaining positive client relationships.
