Role Overview
UMENCO is currently recruiting a Junior Administration Assistant for a premier talent management agency, based in Sydney.
The Junior Administration Assistant will provide day-to-day administrative and operational support to the Company Directors while playing an integral role in the smooth running of the wider agency. The successful talent will work across a broad remit, supporting international talent, coordinating travel and maintaining an efficient, welcoming and well-organised workplace.
Working closely with the Company Director and senior team, the Junior Administration Assistant will manage calendars, appointments, meetings, correspondence, documentation and follow-up actions, while providing general executive and personal assistant support as required. The successful talent will also assist with VIP talent bookings, agency administration, records and databases onboarding documentation and special projects. A key component of the role will be supporting international talent, including coordinating visa applications, contracts and associated documentation, liaising with immigrant consultants, government agencies and talent representatives and ensuring all compliance requirements are accurately maintained.
The role also encompasses travel and office management, including arranging domestic and international flights, accomodation, transport and detailed itineraries for talent, staff and Directors. The Junior Administration Assistant will oversee day-to-day office operations, including supplies, amenities and presentation, while managing relationships with external service providers across IT, building management, maintenance, couriers, cleaning and other facilities. The successful talent will also assist with new employee onboarding, workstation and system setup, induction processes, reception, incoming enquiries, mail, deliveries, meetings and office events, contributing to a positive and collaborative team environment.
The successful talent will have a minimum of three years’ administration experience ideally gained within a creative, talent, modelling, media or agency environment, although a strong willingness to learn will also be valued. The ideal talent will bring excellent organisational and time management skills, strong written and verbal communication, a high level of attention to detail and the ability to manage multiple priorities with discretion and initiatives. Experience with travel coordination, international talent, visa and contract administration will be highly regarded, alongside proficiency in Microsoft Office.
