Your new role
Managing complex diaries, appointments and meeting schedules for senior executives Coordinating travel, accommodation, itineraries and meeting logistics Managing confidential correspondence, mail, records and tracking systems Preparing executive documentation including briefing notes, reports, correspondence, file notes and background papers Undertaking research, document searches and information gathering to support executive decision making Monitoring and tracking actions, enquiries and requests to ensure timely outcomes Coordinating meetings and committees, including agendas, papers and follow up actions Acting as a key liaison point for internal and external stakeholders while maintaining professionalism and discretion Supporting special projects and administrative initiatives as required Ensuring all documentation prepared for executive review and signature is of a high professional standard
What you'll need to succeed
Demonstrated experience providing high level executive support within a demanding and fast paced environment Strong diary management, correspondence management and administrative coordination skills Experience supporting senior executives and managing competing priorities within strict timeframes Proven ability to prepare high quality reports, briefing notes, correspondence and other executive documentation Strong research and information gathering capability with excellent attention to detail Excellent verbal and written communication skills with the ability to engage professionally with a diverse range of stakeholders Strong organisational skills with the ability to manage multiple tasks simultaneously Demonstrated ability to maintain confidentiality, exercise sound judgement and work with discretion High level interpersonal skills and the ability to build productive working relationships Strong Microsoft Office skills and experience maintaining accurate records and tracking systems Previous State Government or Executive Officer experience will be highly regarded
