Are you an experienced administrator or governance professional looking for a broad role where you can work closely with senior leadership and contribute across corporate services?We are seeking an Executive Services Coordinator to join a regional council based in Batchelor. Working within the Corporate Services team, this position will provide high-level administrative and governance support across Council operations, supporting the CEO, senior management, Council and committees.
This is a varied role suited to someone who enjoys managing competing priorities and brings strong experience across executive administration, governance, meeting coordination, policy and compliance, records management and stakeholder engagement.

In this position, you will:

  • Coordinate Council and committee meetings, workshops and associated governance requirements.
  • Prepare, distribute and publish agendas, reports, minutes and supporting documentation.
  • Provide high-level administrative support to the CEO, senior management team and Council.
  • Maintain Council registers, records and public disclosure documentation.
  • Coordinate reporting deadlines and follow up actions arising from Council and committee meetings.
  • Assist with the development, review and implementation of policies and procedures.
  • Support strategic and corporate planning activities and associated reporting requirements.
  • Prepare and coordinate content for newsletters, web-based communications, media releases and other Council communications.
  • Maintain accurate corporate records, archives and information management systems.
  • Assist with the planning and delivery of civic events, including Citizenship Ceremonies and community awards.
  • Provide administration support across permits and registers associated with Council services.
  • Provide oversight and support across rates administration, accounts payable and accounts receivable when required.
  • Support effective governance and compliance across a diverse regional council environment.

To be successful in this role, you will ideally bring:

  • Strong senior administration, executive support or governance experience.
  • Previous experience supporting a Council, board, committee or senior management team.
  • Experience coordinating formal meetings, including agendas, reports, minutes and action items.
  • Strong document preparation, records management and data administration skills.
  • Experience developing or reviewing policies, procedures and corporate documentation.
  • Strong organisational and time management skills with the ability to manage a complex workload.
  • Excellent written and verbal communication skills.
  • Confidence engaging with senior stakeholders and working across different business areas.
  • Strong digital and business systems capability.
  • Experience supervising or supporting a diverse team.
  • A high level of initiative, judgement and problem-solving ability.
  • Previous local government experience or knowledge of NT local government legislation would be highly regarded.

Mandatory requirements

  • Current NT Driver Licence.
  • Current Police Check.
  • Current Ochre Card.
