Position Summary:

The Office Manager oversees the day-to-day administrative operations of the office to ensure efficiency, productivity, and a positive work environment. The role includes coordinating office activities, managing administrative staff, maintaining office systems and records, supporting financial and HR functions, and contributing to continuous improvement of office service standards.

Minimum Requirements:

AQF Diploma or higher qualification and minimum 1 year of relevant experience.

Key Responsibilities:

  • Coordinate daily office operations, supplies, and equipment to keep the business running smoothly.
  • Maintain electronic and physical filing systems, ensuring business records stay confidential and accurate.
  • Manage office maintenance, vendors, and service contracts, and handle incoming/outgoing mail and correspondence.
  • Allocate workspace and equipment according to operational needs.
  • Support budgeting, expense tracking, financial reporting, and processing of invoices, purchase orders, and reimbursements.
  • Liaise with accounting to ensure payments are made on time and records stay accurate.
  • Assist with recruitment, onboarding, training, and maintaining employee records, schedules, leave, and timesheets.
  • Supervise administrative staff performance and help foster a positive workplace culture.
  • Provide executive support - managing calendars, travel, meetings and prepare reports, presentations, and correspondence, plus organize company events and conferences.
  • Ensure compliance with company policies, health and safety regulations, and relevant legislation, while developing and updating office procedures.

Skills & Qualities Required:

  • Strong organisational and administrative management skills.
  • Ability to coordinate multi-disciplinary tasks and manage competing priorities.
  • Competence in financial administration and office budgeting.
  • Proficiency with office software and record-keeping systems.
  • Strong communication skills for stakeholder, team, and supplier coordination.
