We are looking for an organised, proactive and hands-on Office Manager to take ownership of the smooth day-to-day running of the office while also providing support across Customer Service and Sales.
 
This is a varied role for someone who enjoys being involved across the business. Alongside office operations, you will oversee Customer Service / Sales Support activities, support the team, assist with customer and order enquiries, coordinate suppliers and couriers, and ensure the office runs efficiently and professionally.
 
You'll be a key point of contact for both internal and external stakeholders, so we're looking for someone who is confident, approachable, solutions-focused and takes pride in getting things done.
 
Responsibilities are but not limited to:

  • Manage the day-to-day operations of the office including suppliers, contractors, equipment, stationery, amenities and external service providers.
  • Coordinate travel, accommodation, catering, functions and conferences.
  • Manage mail, couriers, filing, archiving and general office administration.
  • Welcome visitors and ensure meeting rooms and shared areas are maintained
  • Provide IT and administrative support as required.
  • Support the Customer Service / Sales Support team, including recruitment, training, performance management and leave coverage.
  • Assist with customer, consumer and field sales enquiries and ensure issues are followed through to resolution.
  • Oversee order processing, invoicing, order amendments, back orders and credits.
  • Monitor freight and delivery enquiries and liaise with customers, freight providers, Warehouse and Purchasing to resolve issues.
  • Act as an escalation point for more complex customer complaints, including product quality issues, adverse reactions, recalls and urgent matters.
  • Maintain product complaint and compliance records
  • Support Sales and Marketing with mail-outs, representative samples and allocations.
  • Maintain accurate customer records on the CRM.
  • Ensure data entry and documentation are accurate and up to date.

Attributes/Skills:

  • Previous experience in Office Management, ideally with exposure to Customer Service or Sales Support.
  • Experience supervising or leading a team.
  • Excellent communication skills and a professional, service-focused approach.
  • Strong attention to detail and a high level of accuracy.
  • A proactive, practical and solutions-focused approach.
  • The ability to work autonomously while collaborating effectively with different teams across the business.
  • Strong Microsoft Office skills, particularly Outlook, Word and Excel.
